Additional Fees
There are no fees associated with the actual scheduling of your event at the Hippodrome with the exception of bowling reservations. Additional fees may include the following:
Equipment Fees
The Marvin Center has a variety of equipment available. Use of equipment is determined by availability. Any equipment requests made within 48 hours of the event will be fulfilled at the discretion of building staff. Requests made on the day of the event, if available, may be subject to additional fees.
The Marvin Center also has the ability to rent equipment from outside vendors. The fees associated with any rented equipment will be passed on to the department, organization, or student group holding the event. Requests for outside vendor rental equipment must be made at least 10 business days prior to the event date.
While organizations are permitted to use their own equipment for an event the Marvin Center and all areas of operation are not responsible for any possible damage to equipment.
Service Fees
The Hippodrome provides additional services beyond space rental. However, many of these services require payment and have costs associated with them.
Examples of service fees are:
* A/V Technician: In house A/V technicians are billed by the hour. Need for an A/V technician is at the discretion of the Hippodrome Programming Office.
* Event Staff: In house event staff is billed by the hour for a specific event. Applicability of these charges will be determined by the Hippodrome Programming Office and discussed with the client in advance when possible.
* Housekeeping: Under special circumstances, charges for excessive housekeeping services related to a specific event may apply. These fees will be determined at the discretion of the Hippodrome and discussed with the client in advance whenever possible.
* Setup/Takedown: The charges for set up and take down will be applied at the discretion of the Hippodrome Programming Office. These fees are for setup and takedown of staging and related items for major events. Any setup for outside equipment from outside contractors will be billed at rates designated by the outside contractor.
* Security: The Hippodrome reserves the right to require security at any event, the client will be notified of this decision. The Hippodrome will request an officer from the University Police Department at a rate of $35.00 per hour per officer with a minimum of four hours to be billed to the client. In the case of a student group the Hippodrome will pay for half of one officer. If more than one officer is required the Hippodrome will pay for the first officer.
Late Cancellation
A late cancellation is any cancellation made five days prior to a Hippodrome co-sponsored event or the day of a bowling reservation. The department or student group will be responsible for all fees associated with the event.
No Shows
An unannounced absence from a bowling reservation will result in a charge of $20.00 per hour per lane reserved.
